In one minute

The Properties section is where you manage your portfolio of properties and their units. Felicity uses property and unit data to identify residents, route conversations, and scope knowledge base articles to the right location.

Viewing your properties

Navigate to Properties in the sidebar to see your portfolio. Each property shows:
  • Address and property details.
  • Number of units in the property.
  • Linked tenants and landlords.
  • Property group (if assigned).
Click a property to view its details and manage its units.

Adding a property

  1. Go to Properties and click Add Property.
  2. Enter the property address and details.
  3. Add units within the property (e.g. Flat 1, Flat 2, or the whole property if it is a single unit).
  4. Link the landlord and any existing tenants.
  5. Save.

Managing units

Each property can contain one or more units. A unit represents an individual dwelling that a tenant occupies. For each unit, you can:
  • View unit details.
  • See which tenant is currently linked to the unit.
  • View maintenance history for that unit.
  • Add unit-specific knowledge base articles (e.g. boiler instructions specific to that unit).
Properties and units are managed through your PMS integration. Editing and deleting properties or units directly in LightWork is not available - changes should be made in your property management system and synced across.

Property groups

You can organise properties into groups for easier management. Groups are useful when:
  • You manage multiple portfolios for different landlords.
  • You want to filter your inbox or reports by a subset of properties.
  • Different team members handle different property groups.

PMS sync

If you have a property management system (PMS) integration set up, properties and units can be synced automatically. See Integrations for supported systems and how sync works.

Why properties matter

Property and unit data powers several features across LightWork:
  • Tenant identification - Felicity links incoming messages to the correct tenant and property.
  • Knowledge base scoping - articles can be scoped to specific properties or units for more accurate answers.
  • Maintenance routing - work orders are linked to the correct property and unit.
  • Reporting - activity and metrics can be filtered by property.
